Job Title: Personal Assistant to the Director of Operations

Salary: £28,000 – £32,000 per annum
Working Hours: 9.00 a.m. to 5.00 p.m., Monday to Friday

We have an exciting opportunity for a Personal Assistant to provide full PA and administrative support to the Operations Director. This is an exciting opportunity to work within an ever-evolving and growing business based from the Norwich office. Duties & Responsibilities of Personal Assistant:-
- Providing full diary management and administrative support to the Director of Operations and administrative support for their direct reports and wider team.
- First point of contact for liaising with members of staff from across the business and the wider Group with regard to meeting co-ordination and general correspondence, ensuring deadlines are met and deliverables received.
- Proactive diary management for each Director
- Scheduling of meetings (telephone, video conference and in-person).
- Raising purchase orders and reviewing invoices on a regular basis.
- Managing confidential documentation.
- Fielding incoming telephone calls and queries and responding to emails on behalf of Directors Managing meeting room bookings and greeting visitors ahead of meetings
- Managing Team and Office communications for HR, Operations and Finance
- Booking travel and accommodation.
- Assisting with new starter onboarding process.
- Managing all social team events for Finance, Operations and HR
- Providing ad hoc support for HR, Operations and Finance teams as and when required
- General administration including file notes, memos, letters, meeting minutes, etc.
- Document preparation for meetings including photocopying and binding of meeting packs, ensuring Directors have all relevant information ahead of each meeting.
- Providing reception cover as required.
- Any other duties as required by the Operations Director.
Desirable Experience of Personal Assistant:-
- Previous experience in a PA role at a senior level
- Accurate typing skills
- Very strong organisational skills with the ability to multi-task and prioritise workload
- Advanced IT skills including Microsoft Word, Excel, PowerPoint and Access
- Working in a busy, fast-paced environment
- A strong sense of discretion
Qualifications & Skills of Personal Assistant:-
- Ability to identify and resolve problems ensuring the smooth running of the business
- Pro-active, tenacious and confident approach
- Must be able to handle multiple and often conflicting requests calmly and effectively regularly reprioritising own and Director’s workload to ensure business objectives are achieved
